For one of our good clients, in the oil and gas branch, located in Rotterdam, we are looking for an Office Assistant.

Job description

As Office Assistant, you are responsible for Reception, Facility, Secretarial, Administrative and Archiving tasks as well as to provide support to the Company Administrator. Your tasks and responsibilities will include the following:


  • Receive and register visitors
  • Incoming phone calls and screening these calls
  • Handle incoming and outgoing mail


  • Responsible for all adhoc facility tasks in the office to
  • Maintaining stationary and kitchen supplies


  • Secretarial support to Management, the Company Administrator and the Accounting team
  • Organize events
  • Assist in preparing presentation material


  • Scanning of invoices and expense reports
  • Procurement process
  • Maintain relation with vendors, respond to inquiries and resolve invoice discrepancies

Support/back-up to the Company Administrator

  • Support to Board of directors
  • Schedule meetings, prepare agenda
  • Track and trace original documents/contracts and signatures (courier services)
  • Draft powers of attorneys, coordinate legal translations, coordinate legalisations
  • Support to business development projects


  • Bachelor degree in Office administration or equivalent
  • 3 years of relevant experience in an administrative/secretarial position. Experience in (para)-legal support is a plus
  • Dutch and English fluently
  • Good knowledge of MS Office, SAP and/or Sharepoint knowledge would be a plus
  • Planning and organizing skills
  • Accurate, independent and possitive
  • Good communication skills
